This policy explains how we collect and use personal information when you visit www.swyftservices.co.uk, contact us or use our fitted furniture, carpentry and related home improvement services.

Who we are and how to contact us
Swyft Services Limited is responsible for your personal information (the data controller). Our company number is 15864787. For privacy questions or to exercise your rights, contact Ryan Sullivan by telephone on +44 7311 896176, through www.swyftservices.co.uk/enquiries, or by post to 307 Garratt Lane, London, SW18 4DX.

Information we collect
We collect your name, contact details, property address, project requirements, budget, measurements, photographs and correspondence when you make an enquiry or arrange work. We also keep quotes, contracts, invoices, payment status, service records and marketing preferences. Please avoid sending unnecessary sensitive information or photographs showing other people.
Information normally comes directly from you. We may also receive relevant details from someone arranging work on your behalf, an architect, a referral or a lead platform through which you request our services. Our website and advertising tools may collect IP addresses, device and browser information, pages visited, referral sources and interactions, subject to your cookie choices.

Why we use your information
Enquiries and work: we use your details to respond, arrange consultations, prepare quotes, carry out work, take payments and provide aftercare. Our lawful basis is taking steps at your request before a contract, or performing our contract with you.
Business administration: we use relevant records to manage suppliers, resolve complaints, protect our business, maintain security and handle legal claims. We rely on our legitimate interests in running and protecting the business, balanced against your rights. We rely on legal obligations for tax, accounting and other required disclosures.
Marketing and advertising: we use consent for optional email, text or WhatsApp marketing and for advertising tracking. Where the law allows marketing about our similar services without fresh consent, we rely on legitimate interests and provide an opt-out when collecting your details and in each message. Requesting a quote or downloading a guide does not by itself mean you consent to ongoing marketing.

Providing details is voluntary, but without necessary contact, property or project information we may be unable to quote or complete your work. Optional marketing choices do not affect the service you receive.
Marketing choices and project photographs
You can object to direct marketing at any time. Use the unsubscribe link in an email, reply asking us to stop, or contact us using the details above. We may retain a minimal suppression record to respect your choice. Essential messages about your enquiry or agreed work may continue.

We use project photographs to plan and document work. We will seek your permission before using identifiable photographs of your home, your name or your testimonial in our own promotional materials.

We may use automated systems to acknowledge enquiries, arrange callbacks and organise customer records. You can ask to speak directly to a person.
Who receives your information
We share only relevant information with people and services needed to run the business: website and CRM providers such as Wix; invoicing and accounting providers such as FreshBooks; automation services such as Zapier; email, messaging, hosting and payment providers; and tradespeople, suppliers, accountants, insurers or legal advisers involved in your work or our administration.

Where enabled and with the required consent, Google and Meta receive website activity and device information for conversion measurement and advertising, including showing ads to previous visitors. These providers may also process information under their own privacy policies. We may disclose information where required by law. We do not sell your personal information.
Customer matching and personalised advertising
With your consent, we may securely share your name, email address, telephone number, postcode and information about your purchases, including their value, with Google and Meta (Facebook and Instagram) through services such as Google Customer Match and Meta Custom Audiences.
These services match our customer records with accounts on their platforms to show relevant advertising, find people with similar interests or characteristics, measure advertising effectiveness and avoid showing unsuitable or repetitive ads. Contact identifiers may be hashed before transfer, meaning they are converted into coded values for matching. This does not make the data anonymous.
Participation is optional and does not affect our services. You can withdraw your consent at any time by contacting us using the details above. We will stop using your information for this purpose and request its removal from the customer lists we manage on these platforms. Withdrawal does not affect processing already carried out lawfully.
For information about how these platforms handle personal data, see Google’s Privacy Policy at https://policies.google.com/privacy and Meta’s Privacy Policy at https://www.facebook.com/privacy/policy/.

Cookies and online tracking
Our website uses essential technologies to operate securely and support core functions. Optional analytics and advertising technologies help us understand visits and measure or improve advertising. We ask for consent before using optional tracking technologies that require it. You can refuse or withdraw that consent through the website’s cookie settings. The cookie information shown there identifies the active technologies, their providers, purposes and durations.
International processing and security
Some service providers process information outside the UK. Where this happens, we use a lawful transfer mechanism, such as UK adequacy regulations or approved contractual safeguards, with additional protections where needed. Contact us for details of the safeguards relevant to your information and how to obtain a copy.

We use appropriate technical and organisational measures to protect personal information and limit access to those who need it. No internet transmission or storage system is completely secure.
How long we keep information
We keep information only for as long as needed for the purpose concerned. For unsuccessful enquiries, we consider whether discussions remain active and whether a reasonable follow-up is still expected. For completed work, we consider accounting obligations, applicable legal claim periods and aftercare needs. Essential guarantee records may be needed throughout our 10-year craftsmanship guarantee.

Marketing records are reviewed for ongoing relevance and your preferences. Cookie retention depends on the individual technology and is explained in the cookie information. We delete or anonymise information when it is no longer needed, unless a legal obligation or ongoing dispute requires us to retain it.
Your rights and complaints
Depending on the circumstances, you may request access to, correction or deletion of your information, restriction of its use, or transfer of information you supplied. You may object to processing based on legitimate interests. You have an absolute right to object to direct marketing. Where we rely on consent, you can withdraw it at any time without affecting earlier lawful use.
Contact us using the details above. We may need to verify your identity and will normally respond within one month, subject to lawful extensions or exceptions. You may also complain to the Information Commissioner’s Office at https://ico.org.uk/make-a-complaint/ or on 0303 123 1113. You do not have to contact us first.

The business always endeavours to provide the best service. However, on rare occasions there may be
times where a customer may not be completely satisfied. To ensure the business can put things right for you, as soon as possible after the completion of the works, please inspect the work to ensure everything has been carried out based on the contract terms and to the high standards the business aims to achieve. Please contact the business straight away with any concerns either by phone, email or write to us. If writing, get proof of posting.
Business Complaint Procedure
On receipt of your complaint the business aims to respond within 5 days. The business will arrange a convenient date to come and view and/or remedy the situation within 28 days.
In the unlikely event the business is unable to resolve your complaint having exhausted the business complaints procedure, it may be necessary to use another complaint service. Where the business cannot resolve the complaint to your satisfaction and/or agree to the final resolution requests confirmed to us; and both parties agree a ‘deadlock’ has been reached, you can then escalate your complaint.
The business has access to an Alternative Dispute Resolution (ADR) service for our domestic installation, service, repair and maintenance contracts as part of the Which? Trusted Traders Endorsement. If you choose to you can refer your complaint to Which? Trusted Traders’ Alternative Dispute Resolution.
You will need to contact Which? Trusted Traders on 029 2267 0040 who can explain if you are eligible to use their Alternative Dispute Resolution.
